La Suprema Events and Community Management Specialist

About the Role

 

La Suprema Works & Events is seeking a part-time Events & Community Management Specialist to support our coworking and events business. We’re seeking a team member who is flexible, eager to learn, and contributes to the continued growth of La Suprema! You will excel in this role if you get excited about all things events, are known for your tenacity to get things done, provide best-in-class customer service, communicate well, and are reliable.

This role is comprised of two parts -
 

 

Events

 

Your role will be to ensure the seamless execution of events, including day of coverage to oversee all details. This includes venue setup, communicating and consulting with guests before, during, and after events, ensuring venue rules and agreements are followed, facilities management, and cleaning, as needed. Additionally, social media updates during and for future events marketing and communicating updates to the Community Builder. During events off-season, you can expect to prospect and follow up for events, contribute to marketing efforts, collaborate internally towards process improvement, and occasional weekend event tours.

 

Community Management

 

Your role will be focused on as-needed support within our co-working business to free up our team's ability to focus on other tasks, including out-of-office coverage. Some tasks may include front desk coverage with light reception duties with our members and other guests, coworking duties including cleaning, restocking, making fresh coffee, and mail management. Additionally, email inbox communication, answering phone inquiries, social media updates, coworking/events tours during business hours. Multi-tasking and member management

 

Responsibilities

 

Event execution:

  • Assist in executing a variety of private events 

  • Execute prior, during and post event tasks to include:

 

Prior:

  • Assist with coordinating contracts and invoicing as needed

  • Coordination of event logistics including confirming vendors, particularly for liquor license and insurance within specified timeframes

  • Communicate reminders and venue rules, ensure understanding with guest(s)

  • Conduct additional tours as needed

 

During:

  • Venue setup prior to guests booked timeframe

  • Answer questions and provide direction as needed as setup occurs, including bartenders and additional vendors, as applicable

  • Greet guests, creating a warm and inviting “face” to the event

  • Oversee observance of venue rules during event, communicate with guests as needed if issues arise

  • Ensure all facilities are safely securely managed throughout the duration of the event

  • Take photos, etc. for event follow-up and marketing

  • Manage social media during the event as necessary

  • Communicate urgent concerns or issues to Community Builder

Post:

  • Venue closing and clean-up as needed, including oversight of space returned to original condition

  • Document any potential damages or issues from event, communicate with Community Builder

  • Manage post-event social media

  • Categorize and store images in an online database

  • Perform other program and events support duties including but not limited to reporting and process improvement


 

Community Management Duties:

  • Greet all members and guests throughout the day while providing front desk coverage, and light reception duties

  • Perform opening, closing and maintenance duties as required. This can include:

    • Coffee making and re-stocking of related supplies throughout the day

    • Cleaning of surfaces as used by members and guests throughout day

    • Closing duties: daily cleaning, trash removal, restocking, inventory management

  • Opening, sorting and distributing incoming emails, and other correspondence.

  • Answering calls, sending follow-up emails as needed 

  • Social media updates and marketing

  • Conducting drop-in and scheduled tours as needed and sending timely follow-up emails to prospective leads

  • Assist with executing member events when required

  • Assisting with one off tasks or administrative duties as needed, including using various software, including G-Suite, Later.com, Canva, Calendly, Social Media

  • Occasional weekend tours for events on an as needed basis

Requirements

 

  • 2+ years event experience/support, regardless of industry (hospitality, food service, catering, customer service experience welcome!)

  • Weekend availability for events, with occasional evenings. Some weekly availability for coworking coverage (our business hours at M-F, 9:00am-4:00pm), with advance notice provided

  • You’re friendly, upbeat and a great host that cares about details small and large

  • You’re dependable and take responsibility for your commitments

  • You’re passionate about working with small-business owners and a diverse array of folks from different backgrounds and industries

  • You have outstanding communication skills; speaking a second language is preferred, particularly Spanish

  • You’re able to lift and carry items for event set up

Compensation & Benefits

 

  • This is a part-time, in person position, paying $18-$19/hour, projected at 10 hours/week. 

  • During busier times, there is potential for additional hours based on event bookings.

About Us

 

La Suprema Works & Events is a historic space, originally a Chinese market and later a tortilla factory. We opened our coworking and events space in May 2020! We are home to local entrepreneurs, small businesses and remote teams. We also provide a unique, one-of-a-kind events space for businesses, non-profits and the community.  Community, greater good and give first are some of our core values that we do our best to live every day!
